Why the EU part matters

Hosting customer data in the EU is no longer a nice-to-have, it is a baseline expectation for any European business handling personal data. The legal ground has shifted in the last few years (Schrems II, the EU-US Data Privacy Framework, ongoing national interpretations). The simplest way to stay out of trouble is to never transfer the data in the first place. What "EU-hosted" actually means

Be careful with this phrase. Some vendors claim EU hosting but route through US infrastructure for analytics, support tooling, or AI inference. The AI calls go to model providers' EU endpoints where available, and personal data is redacted before any call leaves the platform regardless.

The DPA, free and signed

A Verwerkersovereenkomst (DPA, Data Processing Agreement) is required under Article 28 GDPR when you let a third party process personal data on your behalf. Some vendors gate the DPA behind their enterprise plan or charge extra for it. Keloa includes a signed DPA on every plan, including the free Starter. Sub-processors, listed openly

GDPR Article 28 also requires you to know who else processes data on your behalf. Keloa publishes the full sub-processor list at /legal/sub-processors with the company name, the purpose, the data category, and the processing location. Keloa is built and run by a Dutch company headquartered in the Netherlands. We are not a US business with an EU region. We are an EU business with EU infrastructure and EU staff. That matters when a Dutch tax inspector or a German data protection authority asks a question, because they get an answer from someone in the same time zone who reads the same regulations. Is an EU AI helpdesk really different from a US one with an EU region?

Yes, on two axes. Legally, a US company with an EU region is still subject to US law (CLOUD Act and similar), which can compel data disclosure regardless of where the data lives. Practically, the support, the legal team, and the engineers who can fix problems often sit outside Europe. With a true EU company, the data, the contract, and the people are all on the same continent. Both matter when something goes wrong.

Where exactly is the data stored?

Primary data lives in Amsterdam, the Netherlands. Disaster-recovery backups are in Dublin, Ireland. Both are in the EU. We do not replicate customer conversation data outside the EU. The /security page on this site lists the regions and the providers for each.

What about the AI model itself, where is it processed?

AI inference goes to frontier language models hosted on EU endpoints where the provider offers them. Personal data is redacted before any model call leaves the platform, so even if an inference call hits a non-EU endpoint, the identifying information is not in the payload. Emails, phone numbers, IBANs and card numbers are stripped. The original message stays on EU storage in your workspace audit log.

How do I get the DPA?

Download it from your workspace settings, or read the standard text at /legal/dpa. Electronic signature, no negotiation required for the standard version. Enterprise customers can request adjustments through the legal channel listed on the contact page. The free Starter plan includes the DPA at no extra cost.

Does Keloa train AI models on my data?

No. Your conversations and knowledge base content are never used to train shared AI models. The AI uses your data at inference time (to look up the right answer for a question) but never to update model weights. The contractual terms with our model providers also prohibit training on your data. The /security page documents this explicitly.

Can I delete my data on request?

Yes. You can export and delete your workspace data in one click from billing settings. Conversations, contacts, knowledge base content, audit log, all exportable in standard formats (CSV and JSON) and deletable on request. Deletion is irreversible and propagates to backups within the standard retention window. The GDPR rights of your end customers (right to access, right to deletion) are honored through the same mechanism.
